Your Responsibilities

By booking a retreat with The Base Retreat, you agree to take personal responsibility for your wellbeing and participation.

It is your responsibility to:

* Read all emails and digital communications we send you
* Review the itinerary and preparation information before arrival
* Ensure the retreat activities are suitable for your personal fitness level and abilities
* Arrive prepared with appropriate clothing, footwear and equipment as advised
* Maintain good personal hygiene and general health practices
* Behave respectfully and considerately toward other guests, hosts and local communities
* Respect the environment by minimising waste, using eco-friendly products and leaving places as you find them

The Base Retreat is built on community, kindness and mutual respect. We ask all guests to uphold this spirit during their stay.

Health & Fitness

Our retreats include yoga, fitness training, hiking, swimming, wellness treatments and other physical or outdoor activities.

By attending, you confirm that:

* You are in suitable physical and mental health to participate
* You have consulted a medical professional where necessary
* You understand participation is voluntary

If at any time our team believes your continued participation may risk your own safety or that of the group, we reserve the right to limit or withdraw participation in activities. In these circumstances, refunds cannot be provided.

Acknowledgement of Risk

Travel and physical activity naturally involve some level of risk.

By booking, you acknowledge that:

* Injury, illness, delays, accidents or unforeseen events may occur
* You participate in all activities voluntarily and at your own risk
* You are responsible for any personal medical or evacuation costs

The Base Retreat may use trusted independent suppliers (e.g. transport providers, activity guides, therapists, chefs). We cannot accept liability for loss, damage or injury caused by third-party services or events beyond our control, including weather, travel disruption, strikes, force majeure or government restrictions.

Travel Insurance (Required)

Comprehensive travel insurance is mandatory.

Your policy must cover:

* Medical treatment
* Trip cancellation or curtailment
* Personal belongings
* All retreat activities

The Base Retreat does not provide insurance and cannot be liable for costs arising from lack of appropriate cover.

Cancellations by You

We understand plans sometimes change. However, retreats require significant upfront commitments.

All cancellations must be made in writing.

* Deposits are non-refundable
* 90+ days before retreat: refund of payments made minus deposit and transaction fees
* 60–90 days: 50% refund minus deposit and fees
* Less than 60 days: non-refundable

Bookings cannot be transferred to other retreats unless agreed at our discretion.

We strongly recommend cancellation insurance.

Cancellations or Changes by Us

Occasionally, changes may be necessary for safety, weather or operational reasons.

We reserve the right to:

* Amend itineraries
* Adjust activities
* Change timings
* Substitute services of equal value

If we must cancel a retreat entirely, you may:

* Transfer your booking to a future retreat (within 2 years), or
* Receive a refund of payments made

We are not responsible for external costs such as flights, transfers or personal arrangements.

No refunds are given for unused services or early departures.

You are responsible for ensuring you hold:

* Valid passport
* Visa(s) if required
* Any necessary travel documents or health requirements

Some services (transfers, excursions, treatments, flights) may be delivered by independent providers. We cannot accept responsibility for their actions, delays or changes.

Waiver & Release of Liability

By booking with The Base Retreat, you:

* Accept the inherent risks of travel and physical activity
* Voluntarily participate in all activities
* Agree not to hold The Base Retreat, its directors, staff, contractors or partners liable for injury, loss or damage (except where required by law)

Indemnity

You agree to indemnify and hold harmless The Base Retreat and its team from claims arising from your actions, negligence or breach of these terms during the retreat.

Severability

If any part of these Terms is found unenforceable, the remaining provisions will remain in full effect.
